Event Planning RFP's

Yeah, writing an RFP (Request for Proposal) is a touch of pain in the butt, no doubt. It forces you to put into writing what you may are expecting from who is calling vendor. Yet, for someone like me who sometimes have unspoken expectations, it's great tool. Here are 3 things RFP's do to make your job less difficult in Event Planning and scheduling.

  1. RFP's clarify all of the products or services you will receive compared to a vendor- No unspoken anticipation.

  2. RFP's Can serve for the contract between you and your vendor. Most contracts drafted around the vendor favor the vendor as written by the seller's attorney, or someone in their office purchasing for their best interest. Use the RFP as a tool access this language you need inside your contract.

  3. RFP's get the paramount deal for your product sales. For a recent concert, I produced an RFP for equipment rental. Initially I i thought i'd exclude the vendor You will find most, because I know rates had gone up and i also was not happy about this. I was sure they will be the most expensive. At the last promising small to I sent them an RFP to reply. Wow, was I astonished at their response. Not for under did they win concerning the bid, but they were 25% cheaper than the closest bid.

Are you going to use an RFP for just about every contract? No, it doesn't come. If you need a specialized services and only one local vendor backs up it, you're best within negotiating your price but not expectations. However, on those occasions where range vendors are able to give the same car, it's in your welfare to get proposals.

Prepare for their protracted process in discovering vendors from RFP recommendations though. You have to make time to compare your request showcasing proposal, ensuring everything you requested is accounted for. You will undoubtedly need clarification from that responses and that needs time to work too. Vendors may use slightly different terms within their products than you fare, or they may have a large range of styles or sizes to any product in your submit an application for.

The time invested of this process is well winded though. You'll see it at the base line and managing the selected vendor is much easier.
